How Memberships Work

Memberships allow you to offer recurring perks to your clients with automatic billing and flexible payment options.

Create a Membership Plan

Click Add New Membership to create a plan that defines how your membership is priced, billed, and renewed.

Membership Name

Give your membership a clear, recognizable name

Price

Set the amount your client will pay for each billing cycle.

Payment Frequency

Choose how often your client will be charged (e.g., weekly, monthly).

Billing Cycle

Define how long the membership will renew:

  • Forever – Renews automatically with no end date

  • Fixed Number of Cycles – Ends automatically after the selected number of billing cycles

Terms and Conditions

Add any terms or conditions. These will be shared with your client in membership-related notifications.


Membership Perks

Memberships can include perks for your clients.

You can assign one or more existing packages as perks to a membership.

Before doing so, make sure the packages are properly set up with the appropriate discounts and services, so members can receive them at no additional cost.

How it works

When a membership is active:

  • A new package is created for the client in each cycle.

Package behavior

  • Packages created from a membership will expire based on the membership settings, not the original package settings.

  • These packages are automatically treated as fully paid, so no separate payment is required.

Important:

Any changes made to an existing package will affect all memberships that use that package as a perk.


Edit or Disable a Membership Plan

  • Editing a plan creates a new version

  • When you publish the updated version:

    • Existing memberships continue using the previous version

    • New memberships use the latest version


Sell a Membership to a Client

To sell a membership:

  1. Navigate to the Membership record list using the main menu by going to Clients > Membership record

  2. Select the client and the membership

  3. Review the membership plan details

  4. Adjust if needed:

    • Price

    • Number of cycles

    • Terms and conditions


Payment Processing Options

When selling a membership, choose how invoices will be paid:

Automatic

  • The invoice is automatically charged to the client’s card on file

  • Requires:

    • An active payment processor in Yocale

    • A saved client card

Manual

  • An invoice is created each billing cycle

  • The invoice must be paid manually before the due date.


Trial Periods (Optional)

You can offer a trial period when selling a membership:

  • Clients get immediate access to membership perks

  • Payment is not required until the trial period ends

  • The next billing cycle is calculated based on the trial end date.

Cancelling a Membership

You can cancel an active membership at any time:

Cancel Immediately

  • Membership ends right away

  • Any unused value will be converted into credit

  • The credit will automatically appear as a discount on the client’s next membership line item on the invoice.

Cancel at End of Cycle

  • Membership remains active until the end of the current cycle

  • It will not renew afterward


Failed Payments

If an automatic payment fails:

  • The membership and its perks are cancelled

  • The membership is marked as a failed payment


Membership Record Details

Overview Tab

  • Displays the latest payment information

  • Shows a summary of the most recent perk

Record Details Tab

  • View and manage the specific membership record


Charge History

  • Displays all charges across all billing cycles for the membership


Perk Records

  • Shows the full history of perks created for the membership

Membership Notifications

Clients will be notified when:

  • A new membership is created.

  • 7 days before membership renewal, with a renewal reminder and payment link.

  • At the time of renewal, with the membership invoice.

If a membership payment fails:

  • Both the client and business will be notified 4 days before the membership cancellation date.

If the membership is cancelled:

  • Both the client and business will be notified.
