The Coupons list

The Coupons list shows every coupon you've created. From here you can search by coupon name or promo code, filter the list, review usage, open a coupon to edit it, or select Add new coupon.

For each coupon, the list shows

  • Name and promo code

  • Status

  • Validity, the period when the coupon can be used

  • Discount

  • Channel, where the coupon can be used

  • Usage

  • Date created

Choose a coupon type

Select Add new coupon, then choose one of the two coupon types.

Coupon type

Use it when

Example

Discount on total sales

You want to discount the whole sale, whatever items are purchased or whoever sold them.

20% off the total sale, or $20 off purchases over $100

Discount on specific items

You want to discount only certain services, products, packages or gift cards, or items sold by specific staff.

20% off facials, or $10 off selected products

Create a "Discount on total sales" coupon

This coupon type has four steps. Basics, Discount, Advanced settings and Review.

Step 1. Basics

Set the coupon's name, where it can be used, when it's available, and how often it can be redeemed.

Coupon name

Enter a clear name, such as Welcome, Fall 2026, Birthday or Holiday Special. This name appears wherever the discount is shown on invoices and reports.

The name can't match any of your other non-archived coupons. You can reuse the name of an archived coupon.

Redemption channel

Choose where the coupon can be redeemed. You can select one or both channels.

  • In-house lets staff apply the coupon at checkout.

  • Online lets clients enter a promo code when they book online.

If you select Online, enter a promo code or select Generate to create one automatically. Promo codes

  • are only available for online coupons

  • must be 5 to 50 characters long

  • aren't case-sensitive

  • must be unique across your business

Start and end dates

Set a start date, then either set an end date or select No expiration. The coupon's status in your Coupons list updates automatically based on these dates.

Status

What it means

Scheduled

The start date hasn't arrived yet.

Available

The coupon has started and hasn't expired.

Expired

The end date has passed.

Total usage limit

Set the maximum number of times the coupon can be redeemed across your business, or select No limit.

Per-client usage limit

Set how many times each client can redeem the coupon. Choose No limit or Only once, or enter a custom number.

Step 2. Discount

Choose a Percentage or Fixed amount discount.

Percentage discount

Enter the percentage to take off the sale. You can also set a Maximum discount amount so the discount never goes above a set dollar value.

Example A 20% coupon with a $50 maximum discount never takes off more than $50, even when 20% of the sale is more than $50.

Fixed amount discount

Enter the dollar amount to take off the sale. You can optionally set a Minimum purchase amount that the sale must reach, before taxes, for the coupon to apply.

Example A $20 coupon with a $100 minimum purchase can only be used when the sale is at least $100 before taxes.

Step 3. Advanced settings

Customer eligibility

Choose who can use the coupon. Select All clients, New clients or Returning clients.

Location eligibility

If your business has more than one location, select All locations or limit the coupon to specific locations.

Use with other coupons

  • Can be combined means this coupon can be applied to an invoice that already has another coupon on it.

  • Cannot be combined means no other coupon can be applied to the same invoice.

Staff commission

If you use Yocale payroll and commission reports, choose how commission is calculated on sales that use this coupon.

Option

How it works

Calculate on discounted price

Commission is based on the price after the discount, so the staff member and the business share the cost of the discount.

Calculate on regular price

Commission is based on the original price, so the business covers the full cost of the discount.

Step 4. Review

Check your settings. To change anything, select Edit beside that section. When everything looks right, select Create coupon.

Create a "Discount on specific items" coupon

Use this coupon type to discount specific services, products, packages or gift cards, or items sold by particular staff members. For example

  • 20% off facial services

  • $10 off a selected product brand

  • $10 off each eligible product when a client buys at least 3

  • $50 off services sold by selected staff

  • 20% off early morning or weekday appointments

This coupon type has five steps. Basics, Discount, Eligibility, Advanced settings and Review. Basics, Advanced settings and Review work the same way as for a Discount on total sales coupon. The Discount step has extra options, and the Eligibility step is only used for this coupon type.

Step 1. Basics

Set the coupon name, redemption channel, start and end dates, and usage limits. These settings work the same way as in Step 1 of a Discount on total sales coupon.

Step 2. Discount

Choose Percentage or Fixed amount. Your choice decides which purchase conditions and application rules are available.

Percentage discount

Enter the percentage to take off each eligible item. You can optionally set a Maximum discount per item and a Minimum item purchase amount.

Example A 20% coupon on facial services with a $10 maximum discount never takes more than $10 off each facial, even when 20% of its price is higher.

When an invoice has more than one eligible item, choose which items get the discount.

  • All eligible items applies the discount to every eligible item.

  • Cheapest item applies the discount only to the lowest-priced eligible item.

Example A client's invoice includes two facial services. With All eligible items, both facials are discounted. With Cheapest item, only the lower-priced facial is discounted.

Fixed amount discount

Enter the dollar amount to take off each eligible item. You can optionally set a Minimum item price that an item must meet to qualify.

Example A $20 discount on services with a $50 minimum item price only applies to services priced above $50.

When a line item has more than one unit, for example a client buying 2 bottles of shampoo, choose how the discount applies.

Option

How it works

Example

Once per eligible item

The discount is applied once to the line item, whatever the quantity.

A $20 discount on 2 bottles of shampoo takes $20 off.

Per unit purchased

The discount is multiplied by the quantity.

A $20 per-unit discount on 2 bottles of shampoo takes $40 off (2 × $20).

If you choose Per unit purchased, two more options are available.

  • Minimum unit purchase is the number of units the client must buy to qualify. With a minimum of 2, the client must buy at least 2 of the same item.

  • Maximum discounted units is the most units that receive the discount. With a $20 per-unit discount and a maximum of 3, the most a client can save on that item is $60 (3 × $20), however many they buy.

Step 3. Eligibility

Staff eligibility

  • All staff means the coupon applies whichever staff member is linked to the sale.

  • Specific staff means only items sold by the staff you select qualify.

If you choose Specific staff, a list of your team appears. Search or filter by category, select the staff to include, then select Add.

Coupon applies to

Choose which items qualify for the discount.

  • Specific types applies the coupon to whole categories, such as Services, Products, Packages or Gift Cards.

  • Specific items applies the coupon only to the items you choose. Open the tab for the item type, select Add, then choose items from the list. You can search or filter by category to find items quickly.

Appointment eligibility

For coupons that apply to services, you can optionally limit which appointments qualify. Use any combination of these rules.

  • Appointment dates to choose which dates qualify

  • Days of the week to choose which days qualify

  • Appointment times to choose which times of day qualify

Note These rules are based on when the appointment takes place, not when the client books it or when the coupon is applied.

Example To create an off-peak discount, limit the coupon to Monday to Thursday, 10:00 AM to 2:00 PM. Clients can book at any time, but the appointment itself must fall within those days and hours.

Step 4. Advanced settings

Set Customer eligibility, Location eligibility, Use with other coupons and Staff commission. These work the same way as in Step 3 of a Discount on total sales coupon.

Step 5. Review

Check your settings. To change anything, select Edit beside that section. When everything looks right, select Create coupon.

Manage existing coupons

Open any coupon from the Coupons list to view or change its settings and see how it's performing.

Note Changes only apply to future sales. Discounts already applied to past sales stay the same. Archived coupons are read-only and can't be edited.

Enable or disable a coupon

Turn a coupon on or off from the Coupons list or from inside the coupon. A disabled coupon can't be redeemed, but its past usage and reports stay the same.

Remove or archive a coupon

You can remove a coupon that has never been used. If a coupon has been used, archive it instead. An archived coupon can no longer be redeemed but stays in your reports, so your sales data is protected.

Note Removing or archiving a coupon can't be undone.

Duplicate a coupon

To create a similar coupon without starting from scratch, select Duplicate from the Coupons list or from inside the coupon. Check the copied details, make any changes, then save.

Apply a coupon at checkout

Staff can apply in-house coupons to an invoice.

  1. Open the invoice and select Apply coupon.

  2. A list of coupons that are eligible for the items on the invoice appears. Search by coupon name or promo code if needed.

  3. Select the coupon to apply it.

Where the discount appears

  • A coupon for the whole sale appears in the invoice summary, after the Subtotal and before Taxes.

  • A coupon for specific items appears on each eligible line item.

The invoice's Coupon section lists every coupon applied, with the coupon name, the configured discount and the actual amount discounted.

Apply more than one coupon

Select Apply coupon again. Coupons can only be used together if each one is set to Can be combined.

Remove a coupon from an invoice

You can remove a coupon until the invoice is paid. In the invoice's Coupon section, select Remove beside the coupon and confirm.

Note Staff can remove coupons applied in-house, but not coupons a client applied during online booking.

How clients use promo codes online

Clients can redeem online coupons by entering a promo code when they book.

  1. On the Review page of online booking, the client selects Add promo code.

  2. The client enters the promo code and selects Apply.

  3. If the code is valid and the booking is eligible, the discount is applied.

The coupon stays attached to the appointment in your calendar, so staff can see it before checkout. When the appointment is checked out, the coupon and its discount carry over to the invoice automatically.

Coupon reports

You can review one coupon's performance from its detail page, or download a report that covers all your coupons.

View a single coupon's performance

  1. From the left navigation, select Plans and offers, then Coupons.

  2. Open a coupon and select Performance.
