How to use the Rebook Reminders feature

Note: This feature is only available on Pro and Ultimate subscription packages.

Rebooking reminders send a message to clients who have booked a particular service in the past.

Note: If a client schedules an appointment before the specified rebooking reminder timeframe, they will not receive a rebooking reminder. This is to reduce potential spam - no point in sending them a reminder for something they’ve already done.

Managing your rebooking reminders

While logged in as the business owner, navigate to the “Automation” page using the left side menu under "Business setup"

At the top of the page you will see a section for Rebook reminders. This will display which type of reminders (Email and/or SMS) are enabled, and how many services have reminders assigned to them.

Click on “Enable Reminder” to access the settings for this feature.

Now you can see the default settings for rebooking reminders. Here is where you can enable email or SMS reminders individually.

You can also turn off rebooking reminders entirely by pressing the down arrow beside the “enabled” button and selecting “disable”.

  • Adding a custom note to email reminders

If you want add a short note to the end of the reminder emails, you can do so in the “email custom note” box. This is not available on texts due to ensure clear and precise wording is essential to prevent customer confusion .

How to turn on rebooking reminders per service and in bulk

By clicking on the “services” tab, you will see a complete list of all your services.

You can search for a specific service on the search bar, or filter by category.

Services that do not have reminders activated will have a greyed out button beside them. Services with active reminders will have a blue button beside them.

To activate or deactivate a single service, toggle the button beside the day/week/month dropdown.

  • How to turn on rebooking reminders in bulk

On the left hand side of the Services Adjustments tab, you will see a small square beside each individual service. By selecting one or multiple of these boxes, you can turn on or off services in bulk. You can also select all services at once using this button at the top of the selector.

Remember to hit “Apply” and then “Save” to confirm the changes you have made. Don’t worry, no changes will be made until you press both of these buttons.

  • How to adjust the reminder time frame

The rebooking reminder time frame can be set to a specific number of days, weeks, or months. You can enter the amount of time, and then select what kind of time you want to use (days, weeks, or months).

You must enable reminders on a service before editing the time period. After you are finished editing, remember to press apply and the save button.

  • How to adjust reminder in bulk

Using the same method with which we turned on or off the reminders in bulk - selecting one or multiple of the small squares beside the service name.

Please note, if any of the selected services do not have reminders enabled, you will not be able to edit them all in bulk.

Once you have selected all the services you wish to edit, you can enter the changes in the grey highlighted tab. Adjusting both the specific amount of time, and the type of time frame is possible.

Once you are finished editing, press “Apply” then “Save” to confirm the changes you have made.

Previewing your rebooking reminder

By selecting the “Preview” tab, you can see a preview of the email and SMS reminders, to give an idea of how it will look in a client’s inbox or on their phone.
