Win back reminders are sent to clients who have appointment set to “no-show” or “cancelled”. They can help you win back these clients into booking a new appointment with you.
Win back messages are sent via email or SMS, after a specific time that you can specify. If a client books a service after they have no-showed or cancelled, but before the time of win back reminder, they will not receive a reminder to prevent spam and miscommunication.
Win back reminders are sent out for all services.
Managing win back reminders
While logged in as the business owner, navigate to the “Automation” page using the left side menu under "Business Setup".
Click on “Edit Reminder” to access the settings in "Win back reminders" section.
Win back reminder default settings
Here you can choose which channels win back reminders are sent out by, either SMS, email, or both.
You can specify when exactly win back reminders are sent, days, weeks, or months after the initial appointment is set to “no-show” or “cancelled”
In the ‘number’ box you can enter the exact amount of days, weeks, or months you want the message sent after.
In the ‘duration’ box you can select either days, weeks or months.
You can add a custom note to win back reminders which will be added to the email version of the reminders. Custom notes cannot be added to SMS messages due to their importance. Ensuring clear and precise wording is essential to prevent customer confusion.
Previewing your win back reminder
By selecting the “Preview” tab, you can see a preview of the email and SMS win back reminders, to give an idea of how it will look in a client’s inbox or on their phone.
